Create a Workflow

Prerequisites

Before creating a workflow, ensure that:

  • Required CRM modules are configured.
  • User has permission to create and manage workflows.
  • Required lead fields, statuses, and stages are available.
  • Communication channels are configured if used in workflow actions.
  • Message templates are created and available.
  • The workflow objective and expected outcome are clearly defined.

Steps to create A workflow

Follow the steps below to create the above workflow:

Step : Open Workflow Builder

  1. Click on three dot to select workflow module.

  2. Navigate to the Workflow module.

  3. Click Create Workflow.

Enter Workflow Name

4.Select Create from Scratch or Create from Template.Here create from scratch method is selected and described.

5.Enter the workflow name in theWorkflow Name field.

6.Save the workflow details if required.

Step :Add a Trigger

7. Click on Triggers category 
8. Select any Trigger  card element to define when the workflow should start.
Now selected the trigger card can be viewed on workflow canvas.

9. Click on Configure to add details 

10.Add configuration details 

11. click to save configuration details.

12.Add the required Conditions, Actions, Communication, or Flow Control elements and configuration details based on the desired business process as in previous step.Here Create Task Action is selected.

13- Click on confifuration button of action element.

14. Add more workflow element cards listed as per required bussiness workflow by repeating same step mentioned above. After adding more such element  user can view final workflow.

Step:Test the Workflow

15.Click Simulate and Verify that the workflow behaves as expected.

Step  Save and Activate

16.Click Save Workflow.
17.Click Activate Flow to enable the workflow.

Do's

  • Use meaningful workflow names.
  • Configure every workflow element.
  • Test the workflow before activation.
  • Review the workflow logic before saving.

Don'ts

  • Activate workflows without testing.
  • Create duplicate workflows.
  • Add unnecessary elements.
  • Leave workflow elements unconfigured.
